Join Oaklands College as an Estates & Facilities Administrator and play a vital role in ensuring our campuses remain safe, efficient, and inspiring environments for students, staff, and visitors.
This is an exciting opportunity to support the day-to-day operations of a busy estates function while developing your skills in facilities management, compliance, and operational coordination.
You will provide essential administrative and operational support to the Estates & Facilities team, helping to coordinate maintenance, manage contractors, and ensure compliance across multiple College sites.
This role is central to delivering a high-quality environment that supports teaching, learning, and the wider College community.
Day to Day Impact
Facilities Coordination & Operations
Support the coordination of planned and reactive maintenance across sites
Liaise with contractors, suppliers, and service providers
Assist in managing facilities services such as cleaning, security, waste, and grounds
Administration & Systems
Maintain accurate records of maintenance schedules, compliance logs, and assets
Process purchase orders, invoices, and track budgets
Manage documentation, filing systems, and supplier records
Use maintenance and asset systems to monitor tasks and actions
Health, Safety & Compliance
Support compliance with health & safety and statutory requirements
Maintain documentation including risk assessments and safety records
Support inspections, audits, and reporting of incidents or hazards
Assist with fire safety checks and emergency procedures
Customer Service & Collaboration
Act as a first point of contact for facilities-related queries
Provide excellent customer service to staff and stakeholders
Support room bookings, office moves, and event setup
Work collaboratively across departments to ensure smooth operations

Qualifications
Good standard of education including English and Maths
Relevant administrative experience in a busy environment
Experience & Skills
Strong organisational skills with the ability to manage multiple tasks
Excellent communication and interpersonal skills
Experience using Microsoft Office (Word, Excel, Outlook)
High attention to detail and accuracy
Experience working with contractors or in facilities (desirable)
